CHAPTER I 1. 0 INTRODUCTION Sales and Inventory System is an inventory tracking system that gives you up-to-the-minute detailed information on each item in your inventory. Youll know exactly how much inventory comes in, how much is on-hand now, and where it goes. While manual methods may have their place, most entrepreneurs these days find that computerizing gives them a far wider range of information with far less effort. Sales and inventory programs now on the market let you track usage, monitor changes in unit costs, calculate when you need to reorder, and analyze inventory levels on an item-by-item basis. In fact, many experts say that current computer programs are changing the rules of the ABC analysis. By speeding up the process of inventory control, computers give you more time so you can devote as much attention to the B and C items as to the As. You can even control inventory right at the cash register with point-of-sale (POS) software systems. POS software records each sale when it happens, so your inventory records are always up to date. Better still, you get much more information about the sale than you could gather with a manual system. By running reports based on this information, you can make better decisions about ordering and merchandising. 1. 1 BACKGROUND OF THE STUDY Businesses nowadays are innovating there business process into computerize transaction and making edge to other business competencies. Some business transaction made online with the used internet like: ordering, reservation registration, and etc. The most commonly system used by the company is the sales system and integrated it with an inventory system, this system handle various operations. It was 1886, and in New York Harbor, workers were constructing the Statue of Liberty. Eight hundred miles away, another great American symbol was about to be unveiled. Like many people who change history, John Pemberton, an Atlanta pharmacist, was inspired by simple curiosity. One afternoon, he stirred up a fragrant, caramel-colored liquid and, when it was done, he carried it a few doors down to Jacobs Pharmacy. Here, the mixture was combined with carbonated water and sampled by customers who all agreed this new drink was something special. So Jacobs Pharmacy put it on sale for five cents a glass. Pembertons bookkeeper, Frank Robinson, named the mixture Coca-Colaƃ‚ ®, and wrote it out in his distinct script. To this day, Coca-Cola is written the same way. In the first year, Pemberton sold just 9 glasses of Coca-Cola a day. A century later, The Coca-Cola Company has produced more than 10 billion gallons of syrup. Unfortunately for Pemberton, he died in 1888 without realizing the success of the beverage he had created. Over the course of three years, 1888-1891, Atlanta businessman Asa Griggs Candler secured rights to the business for a total of about $2,300. Candler would become the Companys first president, and the first to bring real vision to the business and the brand. The Coca Cola Company is the major suppliers of soft drinks all over the world and in the Philippines. Sales and Inventory System is business computer software that can manage sales, ordering, quotation and inventory reports. This system is a point-of sales type system and offers a truly unique computerized business processes and control. 1. 2 STATEMENT OF THE PROBLEM 1. 2. 1 GENERAL PROBLEM The most common issues encountered are maintaining an accurate inventory because they are using manual procedure. 1. 2. 2 SPECIFIC PROBLEM In sales and inventory system we encountered problems like overstocking (high in inventory days level), under stocking (did not maintain the required inventory days level), out of stock. 1. 3 OBJECTIVE OF THE STUDY 1. 3. 1 GENERAL OBJECTIVES The study is to balance the system, it is also a positive to undertake mini stock counts on the product groups, normally on a weekly basis this ensures that over a period of time stock holding is checked and accurate records made. . 3. 2 SPECIFIC OBJECTIVES Prevent Obsolescence Accurate inventory reports allow management to properly evaluate inventory levels and reduce older, slower-moving inventory. This helps prevent obsolescence, a cost deducted from company profits after a set period of time has transpired. Accurate Availability Information Routine and regular cycle counts keep an inventory level accurat e, which in turn assists the sales department in providing delivery and availability information to their customers. If inventory reports are inaccurate, a sales representative may mistakenly promise delivery to customers, thus damaging customer relations and trust. Aids Purchasing Decisions Without accurate real-time inventory numbers, the purchasing department must work with faulty data. Accordingly, they may neglect to purchase essential products or simply purchase too many items. This can result in delivery delays or inflated inventory levels. Timely Problem-Solving An effective inventory management system identifies problems quickly. The more quickly employees discover a problem, the better the opportunity to resolve the problem, learn its root cause and prevent the error from reoccurring. 1. 4 SIGNIFICANCE OF THE STUDY Sales and Inventory is essentially no less than money stored by the business. Companies must manage and monitor this asset to avoid a wide variety of costly and potentially devastating problems. Sales and inventory system that includes cycle counting, annual or semi-annual inventory checks and implementing security checks will greatly reduce or eliminate inventory problems. 1. 5 SCOPE AND LIMITATION OF THE STUDY The proposed study is about the development of Sales and Inventory System of Coca-Cola Bottlers Philippines. The study is only limited for Sales and Inventory. The proposed system has the capability to track, monitor and gives an alert if a specific product reaches the minimum allowance stock amount. A search index is also added for the users to easily track items from the warehouse that needs to be replenish which include the product location, availability, description and price of the item. Login account for different users will be created for database security purpose. The users that can access the system are the Operation Manager, Accounting Manager, Store Manager, Logistic Manager and the Accounting clerk. The system will have a database that includes adding of new product like coke 8oz, sprite 8oz, royal 8oz, coke 1. 5l, sprite 1. 5l royal 1. 5l, etc , modifying and deleting existing product and suppliers. The system will compute for mark-up prices. The system can also provide a hard copy of daily, monthly, yearly reports; the data gathered from the users are automatically recorded on Microsoft SQL.
